Accounts payable (AP) refers to the money a business owes to suppliers or vendors for goods and services purchased on credit. It is recorded as a current liability on the balance sheet, as these payments are usually due within a short period, typically 30 to 90 days.
In simple terms, accounts payable is a company’s unpaid bills. These are expenses the business has already incurred but has not paid yet.
Accounts payable usually follow a simple flow:
A company receives goods or services from a supplier
The supplier issues an invoice with payment terms
The amount is recorded as accounts payable
The company pays the invoice before the due date
This process helps businesses keep track of their outstanding obligations and manage payments efficiently.
Imagine you run a small café and order fresh coffee beans from a supplier worth $500. The supplier lets you take the beans today and pay 30 days later.
That $500 is recorded as accounts payable until you settle the bill.
These two terms represent opposite sides of a transaction:
Accounts payable: Accounts payable is money the company owes to others.
Accounts receivable: Accounts receivable is money owed to the company.
Understanding the difference helps when analysing a company’s cash flow and financial position.
Accounts payable plays an important role in financial management:
Helps businesses manage cash flow more effectively
Indicates short-term financial health
Affects relationships with suppliers
Provides useful insight for investors and traders
Managing accounts payable properly can improve cash flow, while poor control may lead to financial pressure.
